Frequently asked questions

Who can use SLP Nova at launch?

SLP Nova is for adult professionals using authorized clinical workflows. Paid plans are offered in the United States and Canada except Quebec, Saskatchewan and Manitoba. Saskatchewan and Manitoba clinicians can use the free trial; paid plans are coming soon to those provinces.

SLP Nova is not yet available in Quebec or for Quebec-regulated client workflows, including those handled elsewhere. Neither trial activation nor paid plan purchase is available for those accounts. Existing records can still be exported. Approved access in Chile is a separate complimentary program; public paid sales in Chile are not part of this launch.

How does the free trial work?

For an eligible account, select Start trial to begin 14 days. Across the entire trial, the limits are 1 child, 5 AI report requests including regenerations, 90 transcription minutes and 20 AI planning/chat requests. One available 7-day scheduling extension adds time without new quota.

Settings → Billing shows the exact trial end and extension control. Trial expiry does not automatically charge you or delete your records. Retained records remain viewable/exportable; ordinary retention and lawful deletion still apply.

No card is required and the trial never automatically becomes a paid subscription.

What do plans cost and include?

The monthly plans and capacities are shown below in US dollars. Report outputs are drafts for your review; paid report/transcription allowances are monthly. Review the final currency, total and renewal terms before paying. Your bank may charge currency-conversion fees.

Check the items available in your account and any review status shown. AI review is not human clinical review. Audio and AI must be enabled and approved for your workflow.

Can I buy before the trial ends?

An eligible trial user can choose a paid plan in Settings → Billing. Buying ends the trial and charges today; monthly renewal continues until cancellation. Review the price, renewal, cancellation and refund terms, then give separate recurring-charge consent before continuing to checkout.

Check the final total and dates in checkout before you pay. You can leave checkout and continue any remaining eligible trial instead. Purchase does not add another Stripe trial.

Settings → Billing
How do I cancel?

Open Settings → Billing and use Manage billing to reach the subscription portal. Cancellation is effective at the end of the paid period. If the control is unavailable or does not work, email hello@slpnova.com from your account email.

Cancellation alone does not refund a payment or delete records. Retained records remain viewable/exportable under the retention policy.

Settings → Billing
How do I request a refund?

Email hello@slpnova.com from your account email to request a full first-payment refund within seven days, once per clinician/practice, regardless of use. Include a general billing question only; do not send card details or client information.

An accidental renewal may be refunded if requested within seven calendar days and the renewed period was unused before the request: no new session, AI generation, transcription or paid activity-material export. Viewing or exporting existing clinical records does not count as use. No routine partial-month refunds are offered beyond applicable legal rights. See the Terms for the policy; refunds are handled through support, not an automatic button.

Where is my information stored and processed?

Read the Privacy Policy and Subprocessor List for storage, processing locations and providers. Before using audio or AI, check that the enabled workflow meets your organization’s authority and transfer restrictions.

Do not assume that cloud hosting means Canada-only or US-only processing, zero retention, clinical validation or permission to enter every kind of record.

Subprocessor List
What if my organization needs a HIPAA BAA?

Before entering or processing affected PHI, an authorized representative must complete the applicable agreement. A customer acting for another business associate needs the appropriate subcontractor agreement. Read the BAA and Terms, and keep the completed agreement and acceptance record.

If your account does not offer a completed applicable agreement, contact hello@slpnova.com without PHI and wait before entering those records. General Terms or Microsoft’s agreement alone do not execute your agreement with Nova. This page is not a HIPAA certification or an executed BAA.

Business Associate Agreement
Can I use AI output as the final clinical record?

Review and correct every draft before clinical use or sharing, including measurements, speaker labels, source evidence, supports and interpretation. Compare relevant transcript words with the audio; confirming speaker labels alone does not verify transcription accuracy.

AI can make errors. Task scores alone do not establish independent accuracy or mastery. An AI reviewer is not a clinician. Keep your required final clinical record.

What consent is needed for recording?

Before each recording or upload, obtain the required authority and consent for all participants, including the appropriate child decision-maker, and confirm the session’s recording gate. Recording is optional.

Permission for care does not automatically authorize recording, AI, overseas processing, publication or research. Keep completed identified consent forms in your protected clinical records; do not email them to Nova.

Recording consent
How do I export or request deletion?

Settings → Privacy provides the account JSON export and an account-deletion request. The JSON download includes retained records and metadata but excludes raw audio files. For available recordings or a more complete rights/return request, ask support for an approved secure route without attaching clinical records.

Deletion requests require authority/scope checks and may have specific lawful retention or residual-copy exceptions. Deleting audio alone does not erase transcripts or reports. Trial expiry and cancellation alone do not delete retained records. Read the Privacy and Retention policies and keep your required clinical copy.

Settings → Privacy: export or deletion
How do I get help if I cannot log in?

Use password recovery from the login screen. If you still cannot access your account, email hello@slpnova.com from your account email with the general issue and a safe error/reference code.
